General Rental Policy

The Event Place is committed to providing a safe and enjoyable experience for our clients and their guests. To ensure this, we have established the following policies and guidelines for all events held at our venue.

Event Details

  • A signed contract and deposit are required to secure your event date.

  • Based on the size of your event, final payment is due at a specific timeframe prior to the event date. Please review our payment policy or call us for more details.

  • Event details, including guest count, layout, and timeline, must be finalized at the time of the final payment prior to the event date.

Prohibited Items

  • Alcoholic beverages are not permitted on site, with or without a liquor license.

  • Open flames, candles, or sparklers are not allowed.

  • Confetti, glitter, or other decorative items that may cause damage or create excessive cleanup are not permitted.

Damages and Liability

  • The client is responsible for any damages or injuries caused to the venue, its staff, or guests during the event.

  • Damages will be assessed and billed to the client as an additional cost.

Other Policies

  • Smoking is not permitted anywhere on the premises.

  • Pets are not allowed, except for service animals.

  • The client is responsible for ensuring that all vendors and guests comply with our policies and guidelines.

By signing the contract and paying the deposit, the client acknowledges that they have read, understood, and agreed to comply with these policies and guidelines.

Payment Policy

At The Event Place, we strive to make your event planning process as smooth as possible. Our payment policy is designed to be transparent and easy to understand. Please review the details below to ensure a seamless experience

Deposit: 25% of the total event cost due upon signing the contract to secure the date.

The Payment Schedule is dependent on the size of your event:

Small Events (less than 50 guests):

  • 2 weeks (14 days) prior to the event: 25% additional payment on top of initial deposit

  • 1 week (7 days) prior to the event: balance (50%) payment

Medium Events (50-100 guests):

  • 4 weeks (28 days) prior to the event: 35% additional payment on top of initial deposit

  • 2 weeks (14 days) prior to the event: balance (40%) payment

Large Events (more than 100 guests):

  • 6 weeks (42 days) prior to the event: 45% additional payment on top of initial deposit

  • 3 weeks (21 days) prior to the event: balance (30%) payment

Final Payment: The remaining balance is due 7 to 21 days prior to the event, depending on the size (number of guests) of the event.

Late Payment Fees: A late payment fee (2% of the outstanding balance) may be applied if payments are not received on time.

Cancellation Fees: As outlined in our Cancelation and Refund policy, fees may be applied if the event is canceled, depending on the notice period and on how long the venue has been held in reserve. Please see our cancellation policy for details

Credit Card Payments: We may charge a processing fee (e.g., 2% to 3.5% of the transaction amount) based on charges by the card provider or card processer (VISA, Mastercard, American Express, Discover, etc.).

Check Payments: Checks are accepted, but a processing fee of $55 will be applied if the check is returned due to insufficient funds.

Cancellation Policy

Life can be unpredictable, and sometimes events don't go as planned. We're here to help. If you need to cancel your event, please review our cancellation policy below. We'll work with you to minimize any inconvenience.

Cancellation Notice Period

The cancellation notice period is based on the number of guests and the duration the venue was held in reserve.

Small Events (50 guests or less):

  • More than 30 days' notice: 50% of deposit refunded

  • 15-30 days' notice: 25% of deposit refunded

  • Less than 15 days' notice: Deposit forfeited

Medium Events (51-70 guests):

  • More than 60 days' notice: 50% of deposit refunded

  • 30-60 days' notice: 25% of deposit refunded

  • Less than 30 days' notice: Deposit forfeited

Large Events (71-100 guests):

  • More than 90 days' notice: 50% of deposit refunded

  • 60-90 days' notice: 25% of deposit refunded

  • Less than 60 days' notice: Deposit forfeited

Additional Fees

In addition to the deposit, the client may be liable for other costs incurred by The Event Place, including:

  • Catering and beverage costs (if applicable)

  • Decor and equipment rental fees (if applicable)

  • Any other expenses incurred by The Event Place in preparation for the event

Exceptions

The Event Place reserves the right to negotiate a different cancellation policy on a case-by-case basis.

Payment Terms

The client acknowledges that they have read and understood the cancellation policy and agrees to the terms outlined above.
